Plain English

The short version

We're Let's Club Together — a not-for-profit initiative operated by Absolute Site Control Ltd, set up to help members of Irish GAA clubs find a cheaper electricity tariff, and to give a little back to their club along the way.

Here's the honest picture of what we do with your information.

What you send us. You send a photo of your electricity bill to our WhatsApp number. We read the bill, work out whether you could be on a cheaper tariff, and send you back a recommendation — usually within about twenty minutes. We'll also ask for your email, which club you're with, and your agreement to go ahead.

What we do with it. We use your bill to find you savings — we help you find a better tariff, we don't switch you and we never touch your bank or card details. We don't sell your information to anyone, ever. That's the whole point of this: keeping value inside your parish, not handing it to a switching company.

Who can see your details — and who can't. This part matters most to us. The sensitive things on your bill — the name on it, your address, your meter number (MPRN), and your phone number — are locked away. The volunteers and committee members at your own club cannot see them by default. They only ever see your first name and the fact that you'd like a hand.

  • If you'd like a volunteer to ring you, your phone number is shown only to the one volunteer who takes your request, and only while they're helping you. Nobody else on the club rota can see it.
  • The club can only see your locked details at all if you say yes — by replying to a WhatsApp message — and that permission lasts a set time and then closes again. You can take it back any time by replying STOP.
  • Your email is never shown to anyone at the club.

Donating to your club. If your recommendation finds you a saving, we'll invite you — entirely voluntarily — to donate a share of it to your club. The money goes straight to your club's own account through Stripe. We never hold it or take a cut.

Getting your information removed. It's your information. If you want us to delete everything we hold about you, email us at info@letsclubtogether.com and we'll remove it, including your bill image, and confirm it's done.

Questions. Email info@letsclubtogether.com any time. The full, formal version of this policy is below.

The full policy

1. Who we are

This service is operated by Absolute Site Control Ltd ("Let's Club Together", "we", "us"), a private limited company registered in Ireland under company number 414249, with its registered office at Dungeel, Killorglin, Co. Kerry, V93 KF21.

For the purposes of the General Data Protection Regulation (GDPR) and the Irish Data Protection Acts, Absolute Site Control Ltd ("Let's Club Together") is the data controller for the personal data described in this policy.

You can contact us about your data at info@letsclubtogether.com.

2. The personal data we collect

When you use the service, we may collect and process:

  • A photo of your electricity bill, and the details read from it: the name on the bill, your supply address, your meter number (MPRN), your customer/account number, your electricity supplier, your current tariff, your usage (kWh), your charges, and your meter type.
  • Your contact details: the phone number you message us from, and an email address you provide.
  • Details you give us: your first and last name, your age, and the GAA club you are associated with.
  • Optional smart-meter usage data (a "Harmonised Download File", or HDF), if you or someone helping you chooses to provide one, to refine your recommendation.
  • Consent records: a record of the permissions you grant or withdraw.
  • Donation records: if you donate, a record that a donation was made and to which club. Card and bank details are handled entirely by Stripe and are never stored on our systems.

3. Why we use it, and our lawful basis

We use your data to:

  • read your bill and calculate whether a cheaper electricity tariff is available to you;
  • send you a personalised recommendation;
  • follow up with you and, if you ask, arrange for a Garda-vetted volunteer from your club to phone you and help;
  • issue a receipt if you make a voluntary donation to your club.

Our lawful basis for processing is your consent, which you give at the start of the WhatsApp conversation and which you can withdraw at any time.

4. How we protect your data — and who can see it

Protecting your information is the core promise of this service, and it is enforced by the design of our systems, not just by policy.

  • The sensitive identity fields — name on bill, address, MPRN, customer number, phone number, and email — are encrypted and locked by default. Club Admins and Committee Members have no standing access to them.
  • A Club Admin or Committee Member can see your locked details only if you grant explicit, time-limited consent (by default, 14 days) to a specific person at your club, by replying to a WhatsApp message. When that period ends, access closes automatically. You can revoke consent at any time by replying STOP.
  • If you request help with a call, your phone number is disclosed only to the single volunteer who has actively taken your request, and only for as long as that request is open. Other volunteers on the club rota cannot see it.
  • Your email address is never disclosed to any club role under any circumstances.
  • A small number of our own platform support staff have standing access for support and operational purposes. Every such access is logged with who accessed what, when, and why.
  • Every privileged access to identity data, every consent grant, and every support session is recorded in an audit log. You can request a copy of the access trail relating to your data.

5. Who we share it with

We do not sell your personal data, and we do not share it for advertising. We use a small number of trusted service providers ("processors") to run the service:

  • Supabase — database and secure data storage, hosted in the EU (Ireland).
  • Vercel — web application hosting, with servers in Dublin, Ireland (EU).
  • Render — pricing engine hosting, with servers in the EU.
  • Sentry — error monitoring to maintain the stability of the platform. Where Sentry processes data outside the EEA, it does so under appropriate safeguards including Standard Contractual Clauses.
  • privateemail.com — email mailbox hosting for our contact inbox (info@letsclubtogether.com).
  • TailorTalk.ai — WhatsApp conversation handling and bill OCR; reads your bill image on our behalf. TailorTalk processes your data within the European Union.
  • Meta / WhatsApp — the messaging platform over which you communicate with us. Meta Platforms Ireland Ltd is the relevant EEA entity. Where data is processed outside the EEA, it is covered by appropriate safeguards including Standard Contractual Clauses under Meta's standard data processing terms.
  • Stripe — donation processing. Donations are paid directly to your club's own Stripe account; Let's Club Together never receives or holds the funds, and never sees your card or bank details.
  • Transactional email — account and verification emails, and inbound HDF processing notifications. This provider will be confirmed before those features launch.

This processor list is current as of 3 June 2026 and will be reviewed before launch. International data transfers — including Meta/WhatsApp and Sentry — are covered by appropriate safeguards as described above.

6. How long we keep it

We keep your information for as long as needed to provide the service to you and your club. As a general rule, we keep member and bill data for 24 months from the date of last activity. Donation and financial records are retained for the period required by applicable tax and accounting law.

If you ask us to delete your data (see "Your rights" below), we remove your records — including your bill image and any usage files held in storage — and confirm to you when this is done.

7. Your rights

Under data protection law you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased;
  • restrict or object to our processing;
  • receive your data in a portable format (data portability);
  • withdraw consent at any time (reply STOP on WhatsApp, or email us).

To exercise any of these rights, email info@letsclubtogether.com. We will respond within the time limits set by law.

If you are not satisfied with how we handle your data, you have the right to complain to the Irish supervisory authority, the Data Protection Commission (www.dataprotection.ie).

8. Children

This service is intended for adults who pay an electricity bill. It is not directed at children, and we do not knowingly collect data from anyone under 18.

9. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. Where changes are significant, we will make that clear.
